For every public and in-camera Board / Committee meeting, an agenda must be prepared. After the meeting, minutes are formalized, printed, and distributed to department heads and attendees for reading and follow-up.

Challenge: Streamline the entire process to save time, labour, and paper. Move toward a paperless system.

Solution: Merlinus created a SQL server-based program that generates an agenda and supporting documentation, which can, with one click, be transformed into minutes following the meeting. Both the agenda and minutes can be viewed online; follow-up tasks can be assigned and updated online, too. To provide an instant history of specific items, such as, how much work has been done on Easy Street, the words Easy Street can be searched and a report viewed or printed.

Data is entered only once and adjusted at various stages of the information flow. All information can be viewed by anyone who has permission. Similarly, anyone with permission may enter data into designated sections.
